The Data Management Center (DMC) application allows users to monitor and validate the data published to their individual operational data store (IODS). Using the DMC, users can choose settings and select the appropriate level of data access for their source system software.
Data Access
The DMC allows users to control what data their software vendors can access in the IODS. Users can define Read, Write, Update, and Delete access for specific data for each vendor application. Additionally, the DMC allows users to:
- verify data loads between their source systems and their IODS
- search and view the data loaded in their IODS
- create a map or crosswalk between specific local data values and TSDS data values
- perform data validations earlier in the TSDS data submission process
Data Validation
The DMC includes several levels of data validation. Once data is successfully loaded in the IODS, users can use the DMC to view results for data filters (Level 1.5) or business rule validations (Level 2).
Level 1.5 Filters
A local education agency (LEA – a Texas school district or charter school) or education service center (ESC) can submit additional data that is intended for local use only to the IODS. The DMC filters this data when it is sent to TSDS for state reporting purposes. Any data that is filtered out will remain in the IODS and be viewable in the DMC by the LEA/ESC only.
The system filters the following kinds of data to ensure that only state mandated data with valid values is moved into TSDS:
- Unique ID: only students and staff with valid 10-digit unique identifiers according to the Unique ID application are moved into TSDS
- descriptor values: only data where the LEA or ESC has selected one of the TEDS pre-defined values (called “descriptor values”) is moved into TSDS
- Do Not Report: only data that the LEAs and ESCs have NOT flagged as “Do Not Report” is moved into TSDS
- course ID: only courses whose unique identifier matches TEA’s pre-defined course IDs are moved into TSDS
Level 2 Validations
An LEA or ESC is able to schedule and view validations through the DMC. These validations are published in the Texas Education Data Standards and may be scheduled by the user to run against any data loaded into the IODS that is associated to a specific TSDS data submission.
Level 2 validations allow users to:
- perform validations earlier in the data submission process
- schedule one-time or recurring validations
- view Fatal, Special Warning, and Warning errors without needing to promote data into TSDS
Data Monitoring
The DMC allows users to monitor their data being loaded to the IODS. In the DMC, users can view high-level summary reports and details on validation schedules and results. In addition, they can search for specific data to help troubleshoot and verify their information.
Load Summary Reports
These reports are available at both the LEA and ESC levels and provide the following information:
- the total number of domains loaded to the IODS
- the record counts of entities within each domain loaded into the IODS
- any LEAs that have not loaded any data to the IODS (ESC-level only)
Validation Reports
These reports are available at both the LEA and ESC levels and provide the following:
- a list of Level 2 validations, including the data being validated and the user who requested the validation
- the ability to monitor validation activity across organizations (ESC-level only)
Search Data Capability
This DMC feature allows users to search the IODS to verify data and assist with support and troubleshooting. Users can:
- search by a specific data entity
- apply filters to refine the search results
